Who we are

Integrated Community Health Impact Ltd, trading as VIVANA, is the data controller for personal data collected through this website. We are registered in England and Wales, and registered with the Information Commissioner's Office under reference [ICO registration number].

What we collect

This website collects personal data in one place only: the enquiry form. When you submit it we record

  • your name;
  • your organisation;
  • your work email address;
  • what you told us you need help with, and any message you write;
  • the language you were reading the site in, the page you arrived from, your browser's user-agent string, and the date and time of the enquiry.

We also store a one-way cryptographic hash of your IP address so we can rate-limit the form against automated abuse. The hash cannot be reversed to recover the address, and we do not store your IP address in any other form.

We do not ask for, and this website does not collect, any health information about you or anyone else.

Why we use it, and our lawful basis

We use what you submit to respond to your enquiry and to discuss menopause education for your organisation. Our lawful basis is legitimate interests (Article 6(1)(f) UK GDPR): you have approached us in a business capacity about a business service, and replying is what you would reasonably expect. You may object at any time using the contact details above.

We use the hashed IP address to protect the form from spam and abuse, on the basis of our legitimate interest in keeping the service available and secure.

Cookies and analytics

This website sets no advertising or analytics cookies and runs no third-party tracking. A single, strictly necessary session cookie is set only if you sign in to the private administration area.

Fonts are loaded from Google Fonts, so your browser makes a request to Google's servers and Google receives your IP address as part of it. We can self-host the fonts on request.

Who we share it with

We do not sell personal data and we do not share it for marketing. Your enquiry is visible to VIVANA staff who need to act on it, and is handled by our website hosting provider, which stores the data at rest, and our email provider, which delivers the notification to us. Where a processor is located outside the UK, transfers are made under the UK's adequacy regulations or the International Data Transfer Addendum, as applicable.

How long we keep it

We keep enquiries for 24 months from your last contact with us, after which they are deleted. Rate-limiting records are kept for no more than 24 hours. If you ask us to delete your data sooner, we will.

Your rights

You have the right to ask for a copy of your personal data; to have inaccurate data corrected; to have your data erased; to restrict or object to our use of it; and to receive it in a portable format. Email hello@vivana.uk and we will respond within one month.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or by calling 0303 123 1113.

Security

The site is served over HTTPS. Access to enquiry data is restricted to authenticated administrators, and administrator passwords are stored only as salted hashes. We keep application logs to detect and investigate abuse.

Changes

If we change this notice we will update the date at the top of this page.
